Working groups are essential levers in the deployment of the Quality approach within the institution. They reflect the strong commitment of staff and stakeholders to projects and objectives aimed at continuous improvement in all areas.
In 2023-24, a number of working groups will be set up to address the strategic and operational issues facing the institution and its internal schools. In order to harmonise their operation and ensure the traceability of objectives, actions and deliverables, the following document templates should be used and adapted, if necessary, to the specific features of each project.
These include the following documents, which form part of the continuous improvement “PDCA” (Plan Do Check Act) cycle:
- Working group charter (Plan): defines the project, the essential elements of its operation and represents the roadmap for its members. It is drawn up jointly by the sponsor (requester) and the project manager before the kick-off meeting and can be adjusted, if necessary, throughout the project.
- Planning (Plan): gives a macro view of the sequence of various stages in the project over time.
- Action plan (Do): a tool for planning and monitoring the implementation of the various actions, enabling all the members of the working group to be involved.
- Progress review (Check & Act): the support document prepared by the project manager for interim reviews with the team and/or sponsor.
- Standards (Standardise): project deliverables in the form of one or more documents (a note, operating method, procedure, memo, etc.) based on the templates used within the establishment.
Finally, communicating the working group’s results is vital in order to disseminate the culture of continuous improvement at all levels within the institution.
